Arcade Machine Buying Checklist for Overseas Buyers

Buying arcade machines across borders involves more than choosing a cabinet from a photograph. The useful comparison is the exact machine and configuration you will receive, the support available after delivery, and the full cost of putting it into service. Use this checklist to make supplier quotations easier to compare.

1. Define the project before requesting prices

Tell suppliers where the machines will operate, who the visitors are, and whether the order is for a new venue, an expansion, or resale. Include your destination country, available floor area, target opening date, approximate budget, and preferred payment system. If you already have a floor plan, mark entrances, power points, and likely player areas.

Group the equipment you want by purpose: claw and prize machines, sports games, simulators, or ticket redemption games. A supplier can suggest alternatives when a model does not fit the audience or space.

2. Request a specification for each exact model

Ask for a written model name, cabinet dimensions, packed dimensions and weight, electrical requirements for your market, game version, language options, payment hardware, and included accessories. Confirm whether the quotation covers the same appearance and configuration as the photos or video you reviewed. If branding or colors are customized, obtain an approved artwork and configuration list before production.

Do not assume all cabinets with a similar exterior use identical components. Ask which parts are serviceable, which parts are consumables, and whether an operator can adjust prices, volume, difficulty, or prize settings for the chosen model.

3. Compare what happens after delivery

Clarify how the machines will be packed, whether any on-site assembly is needed, what installation instructions are provided, and who is responsible for local electrical connection. Request the proposed spare-parts list, warranty scope, troubleshooting documentation, and the channel and hours for remote support. Ask how replacement components are identified and shipped.

For a mixed order, request an itemized quote. It should separate machine prices from optional customization, packing, freight, payment-system integration, spare parts, and any other quoted services. Ask the supplier to state the delivery term and destination used in the price. Your local freight forwarder or customs adviser can help confirm import steps and charges for your market.

4. Verify before approving the final order

Keep a single approval sheet with the model, quantity, colors, plug and voltage specification, payment interface, prize or ticket configuration, packing method, delivery details, and agreed service terms. Before shipment, request photos or a test video of the actual completed units where possible, including startup, controls, payment, and the relevant game functions.

A lower headline price is not automatically a better purchase if specifications, freight, or support differ. Compare offers line by line and resolve unclear items in writing before paying a deposit.

Send a concise inquiry

Share your country, venue type, approximate floor area, target customer age, machine categories, budget range, and preferred opening schedule. Send HaiQuWan a project brief and ask for a model-by-model configuration and quotation to compare.
